The Library is a single place to find, open, and manage all your shared content in Cube: reports, files, URLs, and folders together in one list, so you no longer switch between separate Reports and Library pages to find what you need.
Required permission: View Reports page and use saved templates (Reports permission set) to see reports, or View Files (Files permission set) to see files and URLs. You only see content you have permission to view.
Open the Library
The Library lives under Planning in the side navigation, with Reports and Files as sub-items that pre-filter the page by content type.
- In the side navigation, under Planning, select Library to see all content.
- Or select Reports or Files beneath it to open the page pre-filtered to that content type.
Note: You only see the entry points you have access to. A user with Files permissions but no Reports permissions sees the Files sub-item, not Reports.
Note: Bookmarks and links to the old /reports address still work. They redirect to the Library automatically.
Understand the list
The Library shows reports, files, URLs, and folders in one list, sorted and rendered consistently regardless of type. Each row shows Name, Date Created, Created By, Shared With, and Last Opened. Folders are grouped separately from other content and are content-type agnostic, so a single folder can hold any mix of reports, files, URLs, and sub-folders.
A green Web Input badge appears next to reports that allow data input on the web, so you can tell publishable reports from read-only ones without opening the report.
Filter the list
Two filters narrow the list. They compose with each other and with search.
- Select the Type filter to limit the list to reports, files, URLs, or folders.
- Select the Owner filter to limit the list to content created by a specific user.
Note: The Owner filter only shows users whose content you have permission to see.
Sort the list
Select any sortable column header to reorder the list. Folders and other content sort as separate groups: sorting reorders the folders among themselves and the non-folder content among itself, and folders stay pinned above other content.
Note: Folders sort by their own attributes, such as Date Created and Created By, not by the activity of the items inside them.
Search by name
Use the search input to find content by name in real time. Search applies to the entire set of content within your current folder, not only the items visible on the current page, so a match on a later page still surfaces.
- Select the search input.
- Enter part or all of a content name.
Open content
- Select a row name to open that report, file, or URL.
- Or select the More menu on a row for additional actions.
Note: If you do not have permission to view an item, it does not appear in your list.
Empty states
When a list has no content to show, the Library displays a context-appropriate empty state in the table area rather than a blank page, so you know whether the list is genuinely empty or filtered down to nothing.
Library permissions
The Library respects your existing Reports and Files permissions. Reports and Files are two separate permission sets: a user's access to reports is independent of their access to files and URLs.
| Permission | Set | Business | Finance | Admin |
|---|---|---|---|---|
| View Reports page and use saved templates | Reports | Yes | Yes | Yes |
| Manage personal reports and templates | Reports | Yes | Yes | |
| Manage all reports and templates | Reports | Yes | ||
| View Files | Files | Yes | Yes | Yes |
| Manage personal files | Files | Yes | Yes | |
| Manage all files | Files | Yes |
Note: Business, Finance, and Admin are the three default user types. Your organization may have customized which user types hold each permission.
