Control who can access a report, file, URL, or folder through a single Sharing drawer that works the same way across every content type.
Required permission: Manage personal files or Manage all files (Files permission set) for files, URLs, and folders. Manage personal reports and templates or Manage all reports and templates (Reports permission set) for reports. Without a Manage permission, you see the drawer in read-only mode.
Open the Sharing drawer
- Select the Share icon on the content row.
- The Sharing drawer opens for that item.
Set who can access content
The Sharing drawer works the same way for reports, files, URLs, and folders. Set the sharing scope, then add or remove the users or groups who can access the item.
Note: The Shared With column in the Library list reflects the current sharing scope for each item, so you can see who has access without opening the drawer.
Allow data input on the web for reports
For reports, the Sharing drawer includes one additional option: Allow data input and publish on the Web. This option appears only for reports, not for files, URLs, or folders.
When this option is on, users can enter data into the report on the web, and the report shows a green Web Input badge in the Library list.
